SUMMARY

This article will give you common reports to export detailed client information. This can be helpful if a you are needing large data of specifics about your clients, say to give to an accountant. Or perhaps, if you may be transitioning out of MINDBODY. 

 


CONDITIONS

  • These are common reports that you can run to get the information about your business/clients from your MINDBODY site.
  • Reports that should be run upon cancellation or at anytime you wish are those considered Financial: Sales, Gift Cards, Sales by Category,Ssales by Product, Sales Tax.
  • At any time you can contact our Technical Support for assistance with running these reports.
  • This is a guide written by our Client Care Team to help clients who are transitioning out of MINDBODY to a different software.

Sales:

  1. Go to Reports > select the Sales tab on the left hand side.
  2. Use the filters to select the appropriate report you would like.
  3. From here select the correct date range you wish to see. (Note: If going over a year we recommend selecting a single year at a time.)
    • You can then choose either PDF or Excel to export this information. (We recommend both: PDF, so the information is easy to read, and Excel, if you want to manipulate the data.) You can do this by clicking the buttons under step 4 for the appropriate option.
    • Depending on your accounting needs you may want to switch from accrual to cash. For a further explanation on the difference please check out this help suite article we have Accrual vs. Cash Accounting.

Account Balances:

  1. Go to Reports > select Clients tab on the left hand side.
  2. Select the Account Balances report.
  3. You can choose to see both negative amounts and positive.
    • This report can only be exported out to Excel.

Autopay Detail:

  1. Go to Reports > select Payment Processing tab on the left hand side.
  2. Select the AutoPay Detail report.
  3. Select the correct date range you would like to see.
    • This report can only be exported out to Excel.

Payroll Reports:

  1. Go to Reports > select Staff tab on the left hand side.
  2. Select the Payroll report.
  3. You can run the report for any date range you like, select a specific staff or run it for all staff.

Gift Card Sales:

  1. Go to Reports > select Sales tab on the left hand side.
  2. Select the Gift Cards report.
  3. On the second drop down select which type of gift card type you would like to see.
    • This report can only be exported out to Excel.

Attendance With Revenue:

  1. Go to Reports > select Sales tab on the left hand side.
  2. Select the Attendance With Revenue report.
  3. Select the correct date range you wish to see (if going over a year we recommend selecting a single year at a time).
    • This report can only be exported out to Excel.

For Client Data
We suggest using the following reports:

Mailing Lists:

  1. Go to Reports > select Clients tab on the left hand side.
  2. Select the Mailing Lists report.
    • The first drop down leave it as Email for the first save and if you want the address information switch it to “Mailing list” by default it will focus on the email address of the client.
    • Inside here for Opt-In Status you will want to change it to “ALL.”
    • This report can only be exported out to Excel.

Visits Remaining:

  1. Go to Reports > select Clients tab on the left hand side.
  2. Select the Visits Remaining report.
    • In here you will want to select in the first drop down “All”.
    • The drop down after “with remaining greater than or equal to” you should put in a 1.
    • The drop down after “and less than or equal to” you will want a number around 50 or 99 (this will display the Payment options that still have minimal 1 visit remaining and up to 50 or 99 remaining visits).

Inventory On Hand:

  1. Go to Reports > select Inventory tab on the left hand side.
  2. Select the Inventory on Hand report.
    • In here you can select specific location (if you have multiple) As well as suppliers or categories. 
    • This report can only be exported out to Excel.

Schedule at a Glance:

  1. Go to Reports > select Staff tab on the left hand side.
  2. Select the Schedule at a Glance report.
    • It is recommend if you want to know your future appointments you can go out as far as you like.
    • You can also separate the information if you like by appointments or by classes.
