SUMMARY

The Daily Closeout report reconciles your recorded sales with your cash drawer. 

This report will:

  • Tell you how much cash you recorded through your Retail screen for the day (or a range of days)
  • Enable you to track the amount of money in your cash drawer at the end of each day
  • Help you find discrepancies between your MINDBODY site and your register
  • This report can be used in conjunction with the Cash Drawer report to help you balance your cash drawer at the end of a shift or the end of the day.
  • The Daily Closeout report will report sale totals for all cash registers; you cannot separate totals by cash drawers.

CONTENT

 

Daily closeout report's location

  1. Go to Reports> choose Sales from the tabs on the left > click Daily Closeout. If you use this report frequently, click the star icon to make it one of your favorites

Report filters

  • Start date/End date: Adjust the dates to view data from past closeouts.
  • Location: If you have multiple locations, this allows you to close or view your data by location.
  • Use Date Range/Use Closed Data: Use Date Range shows all data between the two dates selected. Use Closed Data only shows data from a specific closeout that was performed during that time.
  • Include Subcategories: Check this box to see primary and secondary revenue categories in your report.
  • Include Prepaid Gift Card Sales: Check this box to include all prepaid gift card sales in your closeout data results.
  • View Closed Data/Close Data: Use these generate buttons to first view the previous closed data, and to enter your data amounts and close out the day.

Understanding the results

View Closed Data

The Daily Closeout report can be used to close out your sales for the day, or view past closed data based on the filters you set. Learn more about understanding the closed data analysis, and viewing past data when you click View Closed Data.

 

Close Data

This button in your Daily Closeout report will take you to the first step of closing data.              

  • On this page, begin by counting and entering the amount of cash you have in your register.
  • Then click Preview Close Amount.   

Preview Close Amount page

This will show you if there is a difference between the cash you've counted and the cash that's recorded in the system.      

This button will generate a preview of your daily closeout. At the top, you'll see:

  • Sales since last close: The total amount from all payment methods (cash, check, credit card, etc.) of sales your business has recorded since you last used this report
  • Sales tax since last close: The total amount of sales tax that you've collected since you last used this report

Cash section

  • Starting cash in drawer: Based on the "Amount to keep in drawer" entered the last time this report was run
  • Cash sales: The total amount from cash sales since you last closeout
  • Total cash expected in drawer: How much cash should be in your cash register, based on the cash sales recorded on the Retail screen, added to the amount kept in your drawer from the last closeout report
  • Actual cash counted in drawer: The total cash you counted and entered in the fields at the top of the report
    • If you need to recount or adjust the numbers, you can re-enter the amount(s) in the fields at the top of the page, and click Preview Close Amounts again. 
  • Over/short amount: The difference between the amount of cash you counted and the amount of cash that the system recorded
  • Amount to keep in drawer: Enter the amount of of cash you are leaving in the register
    • This amount will be used the next time you run this report.

Checks

  • Check sales: The amount of check sales that the system recorded since you last closed your data
  • Actual check amount: The dollar amount of the checks you've collected that day
  • Over/short amount: The difference between the check amount you counted and the check amount the system recorded

Other payment methods

  • If clients have used other payment methods during the date range that you are closing out, you'll see a separate section for each payment method with totals for each.

Things to know about the Daily Closeout report

  • Once you click Close Out for a date or date range, you cannot make any modifications.
  • The Daily Closeout report will not close out a sale twice. If a sale is recorded in the Daily Closeout report, and the sale date is later modified, the modified sale will not show up on another Daily Closeout report.
  • This report can be used in conjunction with the Cash Drawer report to help you balance your cash drawer at the end of a shift or the end of the day.
  • The Daily Closeout report will report sale totals for all cash registers; you cannot separate totals by cash drawers.

Permissions that control access to this report

To view and run this report, the following staff permission must be enabled for you or your staff's login group:

  • Daily Closeout

To grant or restrict access to this report:

  1. Go to the Home tab and select Staff from the submenu.
  2. Choose Tools at the top right and click on Staff Permissions
  3. Select a permission group from the dropdown menu.
  4. Click on Report Permissions.
  5. Check or uncheck the Daily Closeout permission.
  6. Click Update.
