Sales by Product report

This report will display sales information by each product sold, in a summary or detailed view, with cash and non-cash equivalent total results. The report also has location and cash drawer filters, and you can filter by the length of time based on the sale date, suppliers, individual products and variants for more specific results of your data.

Report's location

Hit the Reports tab and choose Inventory from the tabs on the left. To narrow the list, select Sales from the filters, and then click Sales by Product to open the report. You can always use the search bar at the top right to search for Sales by Product by name, and if it’s a report you use often, then consider making it one of your favorites

To manually change the report's start and end dates, you can type them in, or click on one of the Quick Dates options.

Filters

You can narrow the report's results by modifying the following fields:

  • Show Tagged Clients Only: If you previously tagged a list of clients in the system, then checking this box will display only those clients in the report's results. Click here to learn more about tagging.
  • Sale Location: You can use this multi-select list to filter by multiple business locations, or find sales from your online store. By default, the filter is set to All Locations.
  • Payment Method: Use the multi-select list to select which payment method(s) you want to report on. Payment method refers to the method that was used when the item was purchased in the Retail screen.
  • Revenue Category: Choose a revenue category from the multi-select filter. By default, only those categories with sales during the selected date range will appear on the dropdown list. If no sales were made for the category, then the category will not be listed.
  • Supplier: Run the report for sales of products from a specific supplier, or for all suppliers at once.
  • Product: Run the report for an individual product's sales, or for all sales at once. Choose from the product revenue categories in the dropdown box.
  • Color: You can run the report for just sales of products of a specific color. Choose that color here.
  • Size: You can run the report for just sales of products of a specific size. Choose that size here.
  • Tax: Filter the reports results to display All Sales, just Non-Tax Sales, or just Tax Sales.

Options

You can further narrow the report's results by modifying the following fields:

  • View: Choose to view the report in summary or detail view. For more details about the report’s results in summary and detail view, read the Analyze Your Data section, below.
  • Show credits and gift cards: Check this box to include purchases of gift cards or account credit.
  • Show subcategories: Checking this box displays revenue subcategories.

Generate

  • Go!: This will make the report magically appear based on the filters that you set. If you click Generate and nothing happens, then your instructors have not completed any appointments between the Start Date and End Date filters.
  • Print this report: Click this to open your computer's print menu and print the report.
  • Export to Excel: This will generate a spreadsheet containing the report's data in Microsoft Excel. To learn about exporting reports to Excel, click here.
  • Export to PDF: This will format the report’s results into a PDF file that can be saved to your computer. Printing directly from a PDF may solve formatting issues that arise when trying to print reports directly from an internet browser.
  • Save to DashboardClick here to learn about using the Save This Report feature.
  • Tag Add: Adds the list of clients displayed to the list of clients you have tagged in the past. Click here to learn about tagging clients.
  • Tag New: This deletes the old list of tagged clients (it doesn't actually delete the clients, just the list), then it adds everyone displayed to a new list of tagged clients. It's the closest thing we have to starting with a new list of tagged clients. Click here to learn about tagging clients.
  • Untag clients: This will remove any clients generated by the report from the tagged list. Click here to learn about tagging clients.
  • Constant Contact: You can use this feature to convert the report’s results into a new contact list in Constant Contact. Simply click the Constant Contact icon, give the contact list a unique name, and click Export. You can find this newly created list in your Constant Contact account.

Analyze your data

Once this report has been generated, you can use the dynamic column headings to sort the data.

Detail View

This report will generate a grand total in quantity, total amount, cash equivalent, and non-cash equivalent payment methods, as well as totals for each product. In detail view, the report will display the following results by individual product:

  • Client: The client associated with this particular transaction. By clicking on the name of the client, you will be directed to the client’s Home screen.
  • Category: The revenue category for the product.
  • Sale Date: The date of the sale.
  • Unit Price: The price of the individual product before taxes and discounts were applied.
  • Quantity: The quantity sold of that particular product.
  • Total: The total amount paid for the product once quantity, discounts, and tax were applied.
  • Cash Equivalent: The amount (out of the total) that was paid for with a cash equivalent payment method (e.g., cash, check, credit, etc.).
  • Non-cash Equivalent: The amount (out of the total) that was paid for with a non-cash equivalent payment method (e.g., trade, other, etc.).

Summary View

This report will generate a grand total in quantity, total amount, cash equivalent, and non-cash equivalent payment methods, as well as grand totals for each product revenue category. In summary view, the report will display the following results by product revenue category:

  • Product Name: The name of the product sold.
  • Color: The color of the product sold.
  • Size: The size of the product sold.
  • Barcode: The barcode number of the product sold.
  • Quantity: The quantity sold of that particular product.
  • Total: The product’s total once discounts and tax were applied, if applicable.
  • Cash Equivalent: The amount (out of the total) that was paid for with a cash equivalent payment method (e.g., cash, check, credit, etc.).
  • Non-cash Equivalent: The amount (out of the total) that was paid for with a non-cash equivalent payment method (e.g., trade, other, etc.).

Permissions that control access to this report

To view and run this report, the following permission must be enabled for you or your staff's login group:

  • Sales by Supplier/Sales by Product

To grant or restrict access to this report, just hit the Home tab and select Staff from the submenu. Choose Tools at the top right and click on Staff Permissions.

  1. Select a permission group from the dropdown menu.
  2. Click on Report Permissions.
  3. Check or uncheck the box for the "Sales by Supplier/Sales by Product" permission.
  4. Click Update.
