Throughout your MINDBODY system, you'll notice a variety of icons. Click on a section below to review their meanings and functions.
Note: The icons are listed alphabetically by name.
|This icon will display beside the names of clients who have an account balance. Hover over the icon to see the client's balance.|
This icon will display beside the names of clients with alerts. The Alert Field on each clients' Profile screen can be used to leave important notes about a client account. Generally the yellow alert is reserved for reminders of less importance, like "Left his ID card at the front desk," whereas the red Staff Alert Icon (see below) implies more urgency.
Note: If you have MINDBODY Reach™, this icon displays in the client profile under the mobile phone section, when a client has opted out of receiving text messages by texting STOP. The client must text START to begin receiving texts again.
|The gift icon (on the Client Profile screen) indicates that the date field is to be populated with the client's birthday. The gift icon indicates that the current day is the clients birthday and displays on the Profile screen and on the Class Sign-In screen. this will show for 6 days before the clients birthday (if today is May 20 and the client's birthday is May 26, this will display on the class sign in sheet) and 5 days after the clients birthday (so if today is the 25th and their birthday was on the 20th, then the icon will appear.)|
|Birthday||The Balloon icon indicates that the current day is the client's birthday and dispalys on the profile screen|
|Calendar||This icon or symbol appears beside most date fields within your MINDBODY site. Click on the icon to display a calendar to select a date to populate the field. The icon may also appear on the appointment schedule next to a client's name to signify that the client has additional appointments scheduled.|
|This icon will display beside the names of classes on the class schedule. Click on the white icon to leave notes for the class, or hover over the gray one to read the class's notes. You may also click on the gray icon to edit the notes previously left for the class.|
|Class Test||This icon will display beside the names of clients on the Class Sign-In screen. Click the icon to complete or review the test.|
|Client Notes||This icon will display on the Retail screen beside the names of clients with notes entered into the Client Notes Field on his or her Profile screen.|
These icons appear on the Client Account Details screen and indicate the status of your client's contract agreement. Click on the red Contract Not Agreed To Icon in order to confirm agreement; it will change to the green checkmark. Hover over the green checkmark to see who confirmed the agreement, as well as the date and time of agreement.
Note: The Contract Not Agreed To Icon looks the same as the Payment Not Received Icon below.
This icon displays on the class or enrollment schedule and indicates that one or more costumes are assigned to that class/event. Hover over the icon to see the number of costumes assigned.
Use this icon to send emails or receipts to your clients. Hover over the icon to verify what will be sent.
|Engage app||This icon will display when a booking or reservation is made through the MINDBODY Engage app.|
This icon will display beside the names of clients making their first visit to your business.
|This icon indicates gender and will display on the Client Profile screen.|
|This icon indicates a class or appointment was scheduled online by a client.|
|Help Content||This icon will display beside the names of various screens throughout the MINDBODY system and serve as a direct link to help content related to the screen on which it's found.|
|MINDBODY® App icon that often displays next to your client's name under the class sign-up sheet or class or appointment schedule to signify the client has booked through MINDBODY app.|
|Mobile Phone||This icon will display beside mobile phone numbers and beside the names of clients with mobile phone numbers saved to their profiles. Hover over the mobile phone icon displayed next to a client's name to|
|Partner app||This icon will display when a reservation is made through a MINDBODY partner app.|
Payment Not Applied
This icon will display on the appointment schedule and Appointment Details screen for appointments that have not been paid for. This looks the same as the Contract Not Agreed To Icon above.
This icon will display once payment has been applied to an appointment.
The gray camera icon will display on class and enrollment sign-in screens beside the names of clients who have photos uploaded to their profile screens. Click the icon to display the client's photo on the screen; once it is displayed, the camera icon turns green.
|Pricing Option Active and Remaining||This icon will display when booking an appointment in the appointments screen in business mode and will show if a client has a current pricing option in their account to pay for it.|
|Use this icon to print schedules, reports, or other data as it appears in the MINDBODY system. To learn about printing through Microsoft Excel, click here.|
|Purchased by another client||This icon will display in a client's account details next to a pricing option if it was purchased for them by a different client.|
|Relationship||This icon will display on the Account Details and Purchases screens beside purchases that were made by a client other than the one whose profile you are currently viewing. This icon also indicates that a series is being shared between clients.|
|Requested Staff||This icon will display on the Appointment Details screen and the appointment schedule for sessions in which the client specifically requested the staff member associated with their appointment.|
This icon will display beside the names of clients with staff alerts. The Staff Alert Field on each clients' Profile screen can be used to leave important notes about a client account. Generally the red Staff Alert Icon is reserved for notes requiring more urgency than the yellow Alert Icon implies.
This icon will also display beside inactive classes on the Class & Enrollment Management screen.
|Tech Tip||This icon will display beside the names of various features throughout the MINDBODY system. Hover over the icon to view tech tips related to the feature.|
|Training Movie||You'll notice this icon on several screens throughout your site. Click it to be linked to short educational videos that will explain how to use each screen on which it appears. To view the entire library of training movies, click on the Tutorials Tab at the top of the screen.|
You'll notice the following icons sprinkled on many of your report's filters:
- Export to Excel: To learn about exporting reports to Excel, then click here.
- Export to PDF: This will format all of the Payroll information that you just generated into a PDF file that can be saved onto your computer. For our clients that use Apple computers and found that printing this report from the Safari browser was causing formatting issues with the right margin, printing directly from the exported PDF will solve your earlier print issues.

- Tag Clients (Add): Click here to learn about tagging clients.

- Constant Contact: Export clients from this report to Constant Contact.
- Calendar Months:
- Click the month arrow to set the date range to the previous calendar month.
- Click the quarter arrow to set the date range to last quarter (1/31 - 3/31, 4/1 - 6/30, 7/1 - 9/30, 10/1 - 12/31).
- Click the day arrow to set the date range to the previous day (for example, if it is 5/1/2006, clicking the year arrow moves the date range to 1/1/2005 - 12/31/2005).
- Click the month button to set the date range to the start of the current month to date.
- Click the quarter button to set the date range the start of the current quarter to date.
- Click the year button to set the date range to the start of the current year to date.
- Click the today button to set the date range to today's current date.
Click the buttons in this section, and the report's Start and End Dates automatically populate with the corresponding dates. For example, if it's March 26, and you click the 7 Days button, the Start Date will automatically be set to March 20, and the end date to March 26, covering the past seven days.We call these rolling averages because if you run the report after clicking the same button ( 7, 30, 90, 365) day after day, and then average those numbers at the end of a long period, you'll have more comprehensive idea of how much you make per week, month, quarter, and year.
- Click the 7 days button to move the date range to the past 7 days
- Click the 30 days button to move the date range to the past 30 days.
- Click the 90 days button to move the date range to the past 90 days.
- Click the 365 days button to move the date range to the past year.
This report doesn't actually average your data. You will want to average the numbers that this report returns in an outside document (e.g., an Excel spreadsheet). Over time, the data will weed out outlier days (e.g., big sale days, days when no one came in, days that you were closed for remodeling), giving you a clear idea of how much you make per week, month, quarter, or year.
