SUMMARY

At MINDBODY, we use some unique terminology that may take you a short while to adopt. Use this glossary to learn the terms we'll use often in doing business with you. You can also use this as a reference tool for you and your staff. With this guide, you'll be speaking our language in no time!

A

  • ACCELERATE: MINDBODY software level to easily boost revenue and win back customers with automated marketing tools.
  • Add-ons: Extra services that can be tacked on to a regular appointment.
  • Applied Merchant Systems (AMS): Third party that provides credit card processing for US clients. Now known as BlueFin Payment Systems.
  • Appointments: A calendar scheduled meeting with a single staff member at a particular time and place.
  • Application Programming Interface (API): Technology that allows for your website to display and write to your MINDBODY data.
  • Appointment Types: The sub-categories of your appointment service categories.
  • Auto Email: The term for automatic emails used to notify your clients of various situations, such as appointment confirmations, class reservation confirmations, purchase confirmations, birthdays, and so on.
  • Automated Clearing House (ACH): The industry term of an electronic network for financial transactions in the United States. Charges checking or savings accounts directly.
  • Automatic Data Processing (ADP): A third-party company that provides payroll services. Your payroll reports can export to fit their preferred format.
  • AutoPay: A pricing option of scheduled payments that automatically charges a client's credit card or account balance on a weekly or monthly basis.

  • Back Bar Deduction: Use this to deduct money from staff members who provide appointment services.
  • BlueFin Payment Systems: Third party that provides credit card processing for US clients. Also known as Applied Merchant Systems (AMS) or Capital Payments (CP)
  • Business Mode: The administrative interface of the MINDBODY software, accessible only by owners and staff members.
  • Business Partner: A company partnered with MINDBODY in the pursuit of a mutually beneficial alliance to explore opportunities to collaborate complimentary services.
  • Biz Mode: An iPhone app that allows staff members to log in to their appointment schedule, and view a list, day, month, or single-appointment, detailed view of their appointments inside of MINDBODY.

C

  • Capacity: The number of clients that can be seen at the same time for a particular service or class.
  • Capital Payments: Third party that provides credit card processing for US clients. Now known as BlueFin Payment Systems.
  • Charity: Organizations partnered with MINDBODY that receive 1% of all software sales and are benefited by our Charitable Contributions Feature.
  • Check Out: Process of collecting money from a client that is in an appointment.
  • Class: Single event designed for many clients and one (or two) staff members. It differs from enrollments because its intervals don't need to tightly match its pricing option, and does not use payment plans.
  • Class Tests: Feature that allows you to track each client's performance improvement for clients that regularly take your classes.
  • Class Types: The sub-categories of your class service categories.
  • Clients: The live production platform on which MINDBODY client sites operate.
  • Client Alerts: Special popups that can be enabled within your software that alert your staff or clients to things such as an expired credit card or suspended membership.
  • Client Indexes: Feature that helps categorize client demographics and an integral part of our CRM.
  • Client Rewards: Feature similar to frequent flier miles, it gives clients a special account credit for making purchases.
  • Constant Contact: A third party email marketing software that many of our clients use for sending email campaigns with high-end graphics.
  • Consumer Mode: The customer interface of the MINDBODY software, accessible by clients of your business.
  • Contracts: An agreement with the client to set up an AutoPay schedule for a pricing option or membership.
  • Corporate Dashboard: Allows you to run reports on all locations within your franchise umbrella.
  • Costume Tracking: Feature that allows the MINDBODY software to track clothing dimensions needed for classes.
  • Cross Regional: A feature which allows you to connect multiple locations and regions under one organization.

E

  • Easy Upgrades: A quick way to upgrade the services that your clients have purchased.
  • Elektronisches Lastschrift Verfahren (ELV): The ACH equivalent service for direct debit payment processing in Germany.
  • Enrollment (Workshops): Another name for a workshop. Similar to classes, but they have stricter start and end times and allow for payment plans. Enrollments typically do not last longer than a few months.
  • Exact Payroll: A third-party company that provides payroll services. Your payroll reports can export to fit their preferred format.

  • First Visit: Any session, occurring today or in the past, that has been completed. Future visits or sessions that were not completed will not count.

  • Google Analytics: Product offered by Google to track sales made at your Online Store and traffic on your MINDBODY site. It can be integrated with your MINDBODY site.
  • GROW: MINDBODY software level to help you manage a small team, and schedule everyone's day.
    • Grow "Manager" is a default permission group that can be assigned to your staff members under their staff profile. (Note: These Staff Permssions are set by default, and can't be edited.)
    • Grow "Staff" is a default permission group that can be assigned to your staff members under their staff profile. (Note: These Staff Permssions are set by default, and can't be edited.)

  • HealCode: A third-party company that provides widgets to access data from your secure MINDBODY Site, allowing you to bring Consumer Mode functionality to your business's website.

  • ID Cards: Plastic cards that contain a barcode that connects to your clients' ID numbers.
  • Instructors (also known as Therapists or Stylists): Staff members with whom you may book appointments.

  • Martial Arts Belt Tracking: Feature that tracks the different belt levels of clients.
  • Membership: MINDBODY uses memberships as a means of identifying and tracking specific groups within your entire client base. This is useful if you wish to offer specific groups of clients — seniors, students, or military veterans, for example — priority booking access to your online classes or discounts on products and services.
  • MINDBODY Booker: A feature of MINDBODY Finder that allows clients to book services directly from MINDBODY Finder interfaces.
  • MINDBODY Login: A universal account used to access MINDBODY's family of consumer mobile apps.
  • MINDBODY Research: A service offered by MINDBODY that compiles and analyzes industry trends to help your business stay on top.
  • MINDBODY University (MBU): A three-day intensive to learn how to run your business more successfully, productively, and profitably using MINDBODY.
  • MINDBODY Wellness: Our internal corporate wellness service category, designed to benefit both our clients and staff.
  • Moneris: Third party that provides credit card processing for our Canadian clients.

  • NamasteLight: A third-party email marketing service category that can be integrated with your MINDBODY System.

  • On-deck: A pricing option is considered "on-deck" when it is current (not expired) and has not yet been used (no deductions).
  • Open Gym/Gym Sign-In/Arrivals: Typically used by gyms and health clubs that just want to track whether or not the member walking in the door has a valid membership.
  • Optimal: Third party that provides credit card processing for our European (and some Canadian) clients.
  • Organization: The name of your corporation that all regions are assigned to.

P

  • Packages: Used to bundle services created under the same or different service categories and/or services and products, with an optional discount. Think of it as a “gift basket” of sorts.
  • Paychex: Third party that provides payroll and tax services. Your payroll reports can export to fit their preferred format.
  • Payment Plan: A way for clients to make a down payment on a workshop enrollment.
  • Pre-Authorized Payment (PAP): The Canadian equivalent of ACH (see above), typically provided by Royal Bank of Canada.
  • Premium Account Coordinator (PAC): A senior member of the MINDBODY Technical Support team that provides Premium Support Service described in the Software Service Agreement.
  • Prep and Finish Times: Designed for hair salons, this feature allows you to do things like prep a hair coloring, then give a haircut, and then finish the hair coloring after the haircut.
  • Preview: The platform on which you can preview upcoming software changes before they are released into production (see Clients, above).
  • Pricing Options: The method within your MINDBODY site for pricing your business's services. Created so that clients can pay for services including classes, enrollments, appointments, and resource rentals.
  • PRO: MINDBODY software level to proactively manage you business, simplify tasks, offer more services, and analyze results.

    • Pro "Front Desk" means they are staff members that do not do services, such as teaching classes. It's a default permission group that can be assigned to your staff members under their staff profile. Click here to learn more about setting your staff permissions, and creating more permission groups.
  • Products: A retail item (e.g. yoga mat) for sale. This can also be used for additional one time fees that do not give access to services.
  • Professional Products: Feature that allows you to resell products to your own staff.
  • Promotions: A feature in your MINDBODY site that allows you to give clients a flat or percentage discount for purchases made using special promotional code.

  • Region: This is the technical term used to refer to sites using the Cross Regional Feature.
  • Release Day: A magical day that occurs about five times a year, when your MINDBODY site is loaded with new features.
  • Reservation: Term used to describe a client signing up for a class.
  • Resources/Rooms: Specific rooms or equipment that is scheduled by appointment or used as rentals.
  • Roster: List of people enrolled into a workshop.
  • Royal Bank of Canada (RBC): Third party that provides PAP functionality to our Canadian clients.

S

  • Scheduling IncrementsThis feature is for you to designate your business hours. You can decided what times your business is open for classes, appointments, enrollments, and resources to each of their specifications.
  • Self Sign-In screen: Feature that is a single screen that allows for your clients to sign themselves into services at your business.
  • Service: The work that is performed in exchange for currency, trade or donation and supports the business (e.g. a massage is a service). 
  • Service Categories: The highest level of organization for your services.
  • Sessions: The number of visits within a pricing option.
  • Sign-In: When a client is marked physically present for his or her workshop or class.
  • Sign-In screen: Feature that is a single screen used by your staff to sign clients into services.
  • Sign Up: When a client makes a reservation for a workshop or class.
  • Site: This is the term we use to refer to your MINDBODY system, the web terminal that you log into.
  • Smart Batch: A feature that will automatically batch and settle your credit card transactions just after midnight PST.
  • Software levels: A term used to describle the levels of MINDBODY software you can purchase depending on your business needs.
  • Software Service Agreement (SSA): Agreement that defines terms and conditions between MINDBODY and client/subscriber.
  • SOLO: MINDBODY software level starting with the essentials and often recommended for independent practitioners with no staff.
  • Spa Mode (a.k.a. ApptsUseProdVT): In 2007 this was a variation used on some MINDBODY site that allows the capacity to be set at the session/appointment type level (as opposed to the service category level) and also allows you to assign session/appointment types to instructors (instead of just service categories to instructors). Most MINDBODY sites created after 2007 have this feature enabled.
  • Subscribers: Other term for clients using MINDBODY's services.

T

  • Tagging: Allows you to remember clients generated on a report, and you can use the remember list on other reports.
  • Teachers (also known as Coaches, Therapists or Stylists): Staff members with whom you schedule classes.
  • telego!: The direct debit processor for our clients in Germany.
  • Template Site: A basic MINDBODY software setup used to produce new client sites.
  • Third Party Payers: Outside parties whom you may bill for your clients services, either in full or for subsidized amounts.
  • Travel Sheet: Designed for hair salons, this feature tracks a client using multiple service providers in a single day for different appointments.

  • ULTIMATE: MINDBODY software level that includes the highest level of features. Wow your clients with a custom app, powerful marketing tools, and access to on-demand business courses.

  • Value Added Reseller (VAR): An independent contractor who sells MINDBODY Software. These sales typically occur internationally within regions assigned to specific VARs.
  • Valutec: One of the world's largest suppliers of retail gift cards.
