Summary

Revenue categories are the groups that you use to classify your revenue streams. They are similar to the "Accounts" feature in Quickbooks and Xero. Revenue categories don't really affect the behavior of your site, but they do give you more detailed reporting. Revenue categories are used to separate your sales on the Sales by Category Report and the Sales Report. If you owned a spa, this feature could separate your sales into revenue categories like "Facials," "Massage," and "Acupuncture."

You define the revenue categories on this screen. Later, you will assign them to your pricing options and session (appointment) types. Assigning a revenue category to a pricing option is how the system knows which revenue categories go with what service sale. In short, it tells your reports how to categorize each sale. On the General Setup & Options screen you have the option to "Use Secondary Categories" as a further degree of categorization. Check this feature, and a column titled "Secondary?" will appear on the setup screen for revenue categories.

Option 1: Adding revenue categories while you set up services and pricing

You can set up revenue categories while you create classes, appointments, and enrollments in your site. 

To begin, just hit the Home tab and select Services & Pricing from the submenu.

Creating revenue categories for classes

Each time you create a new pricing option for a class, you’ll need to assign a revenue category to it. If you need to create a new revenue category, scroll to the bottom of the Revenue Category dropdown menu and select Add New. This will bring up a lightbox where you can enter the name of the new revenue category. Just hit Add to create the new revenue category and assign it to this class.

Note: When you create a new contract pricing option, a revenue category that matches the service category name will be selected for you automatically.


Creating revenue categories for appointments

Each time you add a new appointment type to the system, you’ll need to assign a revenue category to it. If you need to create a new revenue category, then scroll to the bottom of the Revenue Category dropdown menu and select Add New. This will bring up a lightbox where you can enter the name of the new revenue category. Just hit Add to create the new revenue category and assign it to this class.

Note: When you create a new contract pricing option, a revenue category that matches the service category name will be selected for you automatically.

Each time you create a new pricing option for an enrollment, you’ll need to assign a revenue category to it. If you need to create a new revenue category, scroll to the bottom of the Revenue Category dropdown menu and select “Add New.” This will bring up a lightbox where you can enter the name of the new revenue category. Just hit Add to create the new revenue category and assign it to this enrollment.

Creating revenue categories for arrivals

Each time you create a new pricing option for an arrival service category, you’ll need to assign a revenue category to it. If you need to create a new revenue category, scroll to the bottom of the Revenue Category dropdown menu and select Add New. This will bring up a lightbox where you can enter the name of the new revenue category. Just hit Add to create the new revenue category and assign it to this class.

Option 2: Adding revenue categories from the Revenue Categories screen

  1. Hit the Home tab and select Manager Tools from the submenu. Choose Settings at the top right and click on Revenue Categories under Retail Settings.

3. Click on Filters at the top left, or click Add New Category.

4. If you clicked on Show Filters, then check the box titled "Show Inactive Revenue Categories." Type over any of the fields containing the name "Service Category" with the new revenue category name.

5. Check the Active box only for the revenue categories that you want to use.

6. Select Update at the bottom of the screen to save your changes.

Tips on naming revenue categories

  • Some businesses name their revenue categories to match their service categories. If you're unclear about what to name the revenue categories, try this strategy. It might be the best way to start, and you can always edit the names later.
  • When setting up your revenue categories, you should match any current accounting reports that use revenue categories. For example, if you use QuickBooks to set up an income account called "Beginner Packages" or "Teeth Bleaching" or "Yoga Classes," you should use the same names for your MINDBODY site.
  • Revenue categories don't affect the behavior of your site. They just organize sales information on your reports. If you don't care to track different revenue streams, you could have one category called "Service Revenue." Although, this would greatly underutilize the software.

 

Where do I set up revenue categories for products?

The revenue categories you set up using the instructions above track only service sales. To set up product revenue categories, follow these steps: 

  1. Log in as the owner, or as a staff member with permission to edit revenue categories for products.
  2. Hit the Home tab and select Products from the submenu. Choose Tools at the top right and click on Product Revenue Categories in the menu.

3. You'll notice that we have some default categories already created. Modify them however you want.

4. You can also add new product revenue categories on this screen.
