Classifying and organizing your services before adding service categories

SUMMARY

Service categories are the highest level of organization for your services. For your classes and enrollments (workshops), they separate services that cost different amounts. For appointments, service categories separate your services based on how unique they are, and the amount of people that can be scheduled for an appointment.

  • Besides separating services by their cost, uniqueness, and capacity, this is where you'll decide which tab(s) each service should be displayed on.
  • If set up correctly, service categories keep less expensive items (e.g., $10 yoga passes) from being able to pay for more expensive services (e.g., a $100 massage). Before you set your prices, you will separate services into their prospective price groups.
  • Service categories are the only feature that, if not set up correctly, will be extremely painful to fix later. We encourage you to take the time to really understand how service categories work. If this article and the corresponding tutorial (at the very bottom of the page) don't completely clarify your understanding of service categories, then call our tech support team. After listening to how you sell your services, a tech support rep can make sure that your service categories are set up right.

To get started, we'll cover how to classify your services, and then we'll move on to explain how to add your service categories into your MINDBODY site. There are two steps to classifying your services:

 

1. List your service categories

First, you need to put your services into broad categories. Get a pencil and a sheet of paper ready, and then start writing a list of your service categories. Give your services broad titles, such as "Massage," "Hair Services," "Baseball Training," "Basic Dental Cleanings," etc. When doing this, it’s good to indicate how much an individual visit within that category would cost.

  • Spa example: Reformer Pilates ($30 one visit), Mat Pilates ($10 one visit), Yoga Classes ($10 one visit), Private Yoga Session ($40 one visit), Duo Yoga Session ($35 one visit), Massage ($90 one visit), Room Rentals ($20 one hour)
  • Martial Arts example: Karate Classes ($8 for one visit), Taekwondo Classes ($8 for one visit), Judo Classes ($8 for one visit), Jiu Jitsu Classes ($8 for one visit), Weekend Martial Arts Enrollments ($20 for one visit)
  • Yoga and Pilates example: Yoga Private ($40 for one visit), Yoga Duo ($35 for one visit), Yoga Classes ($10 for one visit), Pilates Mat Classes ($10 for one visit), Pilates Reformer Classes ($30 for one visit), End-of-Month Yoga Enrollments ($60 for one visit), Pilates Equipment Rentals ($7 for one hour)

2. Try to shorten your list

Classes and Enrollments (Workshops): These are usually services provided by one person to a group of three or more clients.

  • Classes: A class occurs at a set time and day, every week. Classes usually have multiple participants with one staff member (e.g., a Monday morning bootcamp class).
  • Enrollments: Enrollments occur on specific dates, though not necessarily on a regular basis (e.g., a  weightlifting workshop held every Sunday for three weeks).

Remember, a main function for this screen is to separate classes and enrollments (workshops) that are of different costs. Meaning, we are telling the system that a 10-pass yoga card can't be used to attend 10 more expensive Pilates Reformer classes. Giving both Yoga classes and Pilates Reformer classes their own service category is what makes this distinction. Another way to say it is, this screen separates services that are of different values. Try to shorten the list by combining services that are of equal value.

Appointments: Services that are usually provided with a one-on-one or one-on-two teacher to client ratio are considered appointments (not classes or enrollments). When creating service categories for appointments, you want to separate your appointments not by their price, but by their uniqueness and the number of people allowed per appointment (capacity). Prices will be sorted out later. You might have an appointment service category called Teeth Cleaning (for a dentist), Massage (for a spa), or Dr. Teague's Marital Therapy (for a counseling office with therapists that have completely different services).
  • Spa example: For instance, if a 10-visit pass can be used for both Mat Pilates and Yoga Classes, but can't be used for the other services, then your list can be shortened. If you can consolidate all services that are priced the same into one service category, such as Mat Pilates and Yoga Classes, the service category list can be shortened: 
    • Reformer Pilates
    • Pilates Mat & Yoga Classes
    • Private Yoga Session
    • Duo Yoga Session
    • Massage
    • Room Rentals
  • Martial Arts example: With a Martial Arts Studio, students might pay one price to take any of the martial arts classes. This will make the service categories list very short. You can cross off the four classes on the list, and classify them all under one service category called "Classes." But, if the enrollment (workshop) is priced differently than classes, it still warrants its own service category. The revised list will be:
    • Classes
    • Martial Arts Enrollments (Workshops)
  • Yoga and Pilates example: The Yoga and Pilates Studio isn't as simple, assuming the price difference is greater. For instance, if a 10-class card can be used on both Mat Pilates Classes and Yoga Classes, then those two service categories can be combined. But if all the other services have different prices, the shortened list might look like this:
    • Yoga Private
    • Yoga Duo
    • Yoga & Pilates Mat Classes
    • Pilates Reformer Classes
    • Yoga Enrollments (Workshop)
    • Pilates Equipment Rentals

Now you are ready to create and add service categories.
