SUMMARY

The appointments you create are added to service categories, which group appointment types with each other for staff scheduling or searching purposes.

After you've classified and organized your services, you're ready to move on to adding them as service categories in your site. There are two different ways to do this.

Option 1: Adding service categories while you set up services and pricing

  1. Go to your Home tab.
  2. Select Services & Pricing from the submenu. 
  3. Choose the service on the left you wish to create a service category for. 
  4. Choose to:

Note: Make sure that you’re creating a service category for the right type of service:

  • Appointments: Clients select their preferred time for an appointment, during your staff’s available hours. Usually one client with one staff (e.g., a 30-minute massage).
  • Classes: A class occurs at a set time and day, every week. Classes usually have multiple participants with one staff member (e.g., a Monday morning bootcamp class).
  • Enrollments: Enrollments occur on specific dates, though not necessarily on a regular basis (e.g., a  weightlifting workshop held every Sunday for three weeks).
  • Arrivals: A streamlined method for businesses, such as gyms, to have clients sign in without needing to reconcile the sign-in with a scheduled service.

 

Add new appointment service category

  1. Go to the Appointments tab, at the left.
  2. Scroll to the bottom of the Appointments screen.
  3. Click +Add new service category. This will open a pop-up window asking to confirm "Which type of service would you like to set up?"
  4. This will create a new service category section, temporarily titled “Appointments.”
  5. Click the blue Rename link, to the right, to change the name of your service category.
  6. Type the name of the service category into the text field.
  7. Click anywhere outside of the text field to save the name.

Adding a new class service category

  1. Click the Classes tab, on the left.
  2. Scroll to the bottom of the Classes screen.
  3. Click +Add new service category. This will open a pop-up window asking to confirm "Which type of service would you like to set up?"
  4. This will create a new service category section, temporarily titled “Classes.”
  5. Click the blue Rename link, to the right, to change the name of your service category.
  6. Type the name of the service category into the text field.

  1. Click the Enrollments tab, on the left.
  2. Scroll to the bottom of the Enrollments screen.
  3. Click +Add new service category. This will open a pop-up window asking to confirm "Which type of service would you like to set up?"
  4. This will create a new service category section, temporarily titled “Enrollments.”
  5. Click the blue Edit link, to the right, to change the name of your service category.
  6. Type the name of the service category into the text field.
  7. Click anywhere outside of the text field to save the name.

Add a new arrival service category 

  1. Click the Arrivals tab, on the left.
  2. Scroll to the bottom of the Arrivals screen.
  3. Click +Add new service category. This will create a new service category section, temporarily titled “Arrivals.”
  4. Click the blue Edit link, to the right, to change the name of your service category.
  5. Type the name of the service category into the text field.
  6. Click anywhere outside of the text field to save the name.

 

Option 2: Adding service categories from the Classic Service Categories screen

  1. Hit the Home tab and select Manager Tools from the submenu. Choose Settings at the top right and select Service Categories under Classic Setup Screens. Home_MT_Settings_ServiceCats.png
  2. Click "add new service category" at the top right of the screen. Depending on your industry, your MINDBODY site may already contain a few default service categories. Feel free to use these, overwrite them, or deactivate them by unchecking the Active Checkbox and clicking an Update button.
  3. Using the drop down menu, classify each service category into one of the service types below: Add_New_Service_Category.jpg

    Classes: Classes are services that repeat regularly, usually take place in a group setting, and don't require registering for the entire enrollment (workshop). For classes, there is usually one staff member (teacher) that offers his or her service to multiple clients at once.

      • Example: A martial arts class that meets every Wednesday at 7:00 p.m.

    Enrollments: Enrollments (sometimes called workshops or events) are a type of service that has a definite end date. Enrollments don't typically repeat as often as classes. However, like classes, enrollments consist of one person working with multiple clients. When you classify a service as an enrollment, you have the option of setting up payment plans and tracking travel arrangements.

      • Example: A weekend workshop on nutrition that meets Friday, Saturday, and Sunday.

    Appointments: Appointments are services offered one on one, or by one staff member to just a few people.

      • Example: Haircuts, blowouts, manicures, massages, private or semi-private lessons for piano, yoga, etc.

    Rooms (also referred to as Resources): If you want to rent rooms (or equipment, computers, etc.) then classify the rented resources with this feature. 

      • Example: A room or a piece of equipment that you rent out when it’s not already being used for a class or an appointment.

    Media: Allows you to sell digital media, like images, music, and video, through your MINDBODY system. Click here for more information about selling media.

    • Example: A yoga studio that films their classes and wants to make them available online for a fee.

    Arrivals: A streamlined method for businesses, such as gyms, to have clients sign in without needing to reconcile the sign-in with a scheduled service.

    • Example: A fitness center that wants to track how many times their members use the open gym.
  4. Type in a name for your Service Category.  
  5. Check the box if you want to "Allow online Scheduling".
  6. Enter a number for your "Default Capacity." Note: The most common default capacity setting is 1.
  7. Highlight to select which "Tabs this service category is on."  Note: Not all category types will require this setting (i.e. Rooms or Arrivals). 
  8. Click on Add New button. 
 
 

Adjusting existing service category options

  1. Hit the Home tab and select Manager Tools from the submenu. Choose Settings at the top right and select Service Categories under Classic Setup Screens. Home_MT_Settings_ServiceCats.png
  1. Active: Uncheck this box for each service category that you won't be using. Make sure to check this box for each service category that you want turned on.
  2. Service Type: If you have accidentally filed a Martial Arts Classes service category under the Appointment service type, don't worry. You can change it here. Just select the right service type in the dropdown menu.
  3. Allow Online Scheduling: If you uncheck this box, your clients will not be able to view these services in Consumer Mode. The services will only be visible to you and your employees once you have logged into Business Mode.
  4. Default Capacity: This also only applies to appointments. It does not affect resources, classes, or enrollments. Set the max capacity for each service category. If the service category is "Private Yoga," then the capacity is probably "1." If the service category is called "Duo Yoga," then the capacity is "2." The capacity that you set for the service category will automatically populate the capacity for each appointment (session) type within the service category; this may be changed later from the Appointment (Session) Type Setup screen. For example, the Yoga Appointment service category could have a capacity of one, but you could later create a appointment (session) type called Private Yoga with a capacity of one and Duo Yoga with a capacity of two, and assign both Private Yoga and Duet Yoga Appointment (Session) Types to the Yoga Appointment service category.
  5. Staff Pay Code: If you use a third-party payroll processor and you need to assign payroll codes to each service, enter the payroll code for the service category it is assigned to in this box. 
  6. Tab(s) this Service Category is on: Use the multi-select box to indicate which tabs this service category will appear on in your site. Meaning, if you select Classes and Enrollments (Workshops), then your service category will display on both the Classes and Enrollments tabs.
  7. Color (RGB/HEX): Select a color to associate with this service category. This color will display on the resource schedule for service categories that you have chosen to display on the Resources Tab. This color will also display on the Appointment Schedule if you have selected Color by Service Category only for the Color Coding System Option on the Appointment Options screen.

Viewing and editing inactive service categories

  1. Hit the Home tab and select Manager Tools from the submenu. Choose Settings at the top right and select Service Categories under Classic Setup Screens. 
  2. Click on Show Filters at the top left.
  3. Check the box titled "Show Inactive Service categories."

Frequently asked questions

What if I only want to track when a client arrives and if his or her pass is valid?

Click here to learn about the Arrivals service type, also called Gym Sign-In. This service type tracks: 1) whether or not a client's pass is valid, and, 2) when the client checks in. Because of this, Arrivals service categories are ideal for gyms and health clubs.

How do I set up my service categories if I only sell one type of service?

Many Bikram yoga businesses sell one service: Bikram yoga. If this is the case for you, then you will have only one service category. For Bikram yoga studios, that service category would be called "Bikram Yoga."

What if I offer lower prices to high-volume clients?

Nearly every business offers a better price if clients buy in bulk. But you don't need to worry about that stuff when you're setting up your service categories. You can set up these discounts when you create your pricing options. For service categories, all you need is to put services into similarly priced service categories. What if I have different prices for members and nonmembers?

If clients get a discount on services or products when they buy a membership, you do not need to create a service category called "Membership." You can simply set up the membership in the pricing option section.
